Account Executive cum Billing Executive who is responsible for overseeing financial operations, billing activities, and administrative functions to support branch-level operations efficiently. The role includes accurate invoice preparation in accordance with GST norms, proactive follow-up on client payments, MIS reporting, and ensuring compliance with both internal processes and client requirements. Key Responsibilities: 1.Invoice Preparation and Submission: Prepare and submit accurate invoices based on client contracts, ensuring full GST compliance. Attach relevant compliance documents (attendance sheets, statutory compliance proofs) to all invoices. Follow up with clients for timely issuance of Purchase Orders (POs). Maintain records of all submitted invoices with client acknowledgments. Assist field officers in bill submission as per client requirements; may involve visiting client sites to resolve issues. 2.Management Information System (MIS) Reporting: Compile and analyze MIS reports such as: Invoice Generation vs. Submission Outstanding Payment Tracker and Follow-ups 3.Client Coordination and Follow-Ups: Follow up regularly with clients for outstanding payments and PO collection. Resolve billing discrepancies and ensure seamless communication with clients. Maintain trackers for all pending invoices and escalate payment issues when required. 4.Administrative Support and Other Responsibilities: Maintain organized documentation for submitted invoices and audit purposes. Support senior management with report creation, data entry, and departmental coordination. Provide accurate data and documentation during internal or external audits. Key Skills and Competencies: GST Compliance: Strong understanding of GST rules, invoice structuring, and reconciliation. Financial & Billing Management: Skilled in invoice generation, client billing, and payment tracking. Attention to Detail: Precision in data handling, documentation, and compliance verification. Communication: Effective verbal and written communication for client and team coordination. Technical Proficiency: Proficient in accounting software, GST portals, ERP systems, and MS Office (Excel, Word, PowerPoint). Analytical Thinking: Ability to extract insights and trends from financial and operational data. Client-Centric Approach: Proactive in addressing client concerns and ensuring billing satisfaction, including on-site support if necessary. Educational Qualifications: Bachelor’s degree in Commerce, Business Administration, Accounting, or a related field. Certifications in GST, financial accounting, or business operations are a plus. Experience: 5–7 years of relevant experience in billing, GST invoicing, and MIS reporting, preferably in the security services industry. Demonstrated ability in financial operations and client servicing at the branch or field level. Key Performance Indicators (KPIs): Timely and GST-compliant invoice submission. Reduction in outstanding payments through consistent client engagement. Accuracy in MIS reporting and billing documentation. Quality and timeliness of responses to client billing queries. Efficiency in completing assigned administrative and reporting tasks.
