Job Description

Key Responsibilities:

Sales Support: Assist the sales team by preparing, maintaining, and managing customer orders, quotations, and sales contracts.

Coordination Between Departments: Act as a liaison between the sales team, customers, and other departments such as inventory management, shipping, billing and production to ensure smooth operations.

Customer Communication: Respond to client queries, provide updates, and ensure customer satisfaction by handling complaints and resolving issues efficiently.

Order Processing: Process sales orders, monitor their progress, ensure timely deliveries, and handle returns and exchanges if necessary.

Sales Reporting: Prepare and submit regular reports on sales performance, orders and forecasts. Maintain and update sales tracking systems.

CRM Management: Ensure accurate data entry and updates in the CRM system, manage customer information, and generate reports as needed.

Document Management: Manage and organize all sales-related documents, including contracts, purchase orders, invoices, and delivery receipts.

Sales Assistance: Assist in preparing presentations, proposals, and product demonstrations for clients. Schedule client meetings and follow-ups.

Supplier and Vendor Coordination: Collaborate with suppliers and vendors to ensure the timely availability of products and resolve supply chain-related issues.

Sales Data Analysis: Assist in analyzing sales data to identify trends, and work with the team to develop strategies for improving sales and customer engagement.

Meeting and Schedule Coordination: Schedule meetings for the sales team with clients and ensure proper coordination of logistics.


Qualifications:

Educational Requirements:

o A Bachelor's or Master’s degree in Business Administration, Marketing, Sales, or a related field.

o Additional certifications in sales, marketing, or customer service will be a plus.


Skills and Competencies:

Communication Skills: Strong verbal and written communication skills to interact with customers, vendors, and internal teams.

Organization: Excellent organizational and time management skills to handle multiple tasks efficiently.

Problem-Solving Skills: Ability to address issues proactively and find solutions.

Customer Service: Strong customer service orientation with the ability to manage inquiries and complaints professionally.

Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software (e.g., Salesforce, HubSpot).

Attention to Detail: Strong attention to detail, ensuring accuracy in all sales-related documentation and records.

Team Collaboration: Ability to collaborate effectively with cross-functional teams and contribute to team success.


Experience:

Experience Level:

o At least 1-2 years of experience in sales coordination, administration or customer service.

o Prior experience in a sales-driven environment or industry is preferred.

Industry Experience:

o Experience in Industrial Sales or FMCG will be an advantage.

o Familiarity with order management systems, CRM software, and sales tools is preferred.
