Key Responsibilities
Collaborate with management to determine hiring needs and create compelling JDs
Post openings, screen resumes, conduct interviews, and manage all candidate communications
Oversee seamless onboarding, background checks, and orientation
Build relationships with colleges and universities for intern sourcing
Run the intern program including recruitment, onboarding, mentoring, performance review, and offboarding
Facilitate intern development and team integration
Monitor and verify timesheets for employees and interns
Maintain accurate attendance, leave records, and support payroll processes
Resolve discrepancies by coordinating with team leads and finance
Identify bottlenecks and propose process improvements across departments
Track project milestones and ensure deadlines are met
Guide staff on policies, workflow, and best practices
Manage the founder’s complex schedule, appointments, and travel logistics
Organize business trips, accommodations, and travel documents
Draft professional emails, memos, meeting minutes, and follow-up notes
Handle sensitive, confidential communication and correspondence
Draft client pitches, presentations, proposals, and internal briefs using ChatGPT and AI tools
Compile data, reports, and research for client meetings and strategic planning
Use AI for agenda creation, meeting prep, and workflow optimization
Maintain and update legal documents, case files, and client correspondence
Coordinate PR campaigns, schedule media events, manage press communications, and liaise with journalists/influencers
Act as a bridge between the founder and external stakeholders for smooth business operations
Manage HR records, compliance, and internal communications
Oversee office supplies, vendor management, and facility requests
Plan company events, trainings, and team-building initiatives to foster a strong culture
Address employee concerns and mediate conflicts with fairness and discretion
Develop and execute employee engagement programs for well-being and productivity
Support feedback and performance appraisal cycles
Requirements
Hold a Bachelor’s degree in HR, Business Administration, or a related field
Possess at least 2 years of experience in HR generalist or executive support roles
Have legal or PR experience as an added advantage
Demonstrate proficiency in HRIS, ATS, MS Office, and Google Workspace
Be comfortable using AI tools like ChatGPT and Notion
Exhibit exceptional organization, communication, confidentiality, attention to detail, adaptability, and multitasking skills
Show familiarity with labor laws, HR best practices, and basic legal or PR processes
Maintain eagerness to leverage AI-driven workflows
