HR Coordinator – Join Our People Experience Team at John & Smith

Your Role and Responsibilities


Talent Acquisition & Onboarding Support

  • Act as a Talent Coordinator by assisting hiring managers with interview scheduling and initial application screening
  • Support with publishing job postings, screening candidates, and coordinating interview logistics
  • Ensure smooth pre-employment checks, including NHS compliance, DBS clearances, and reference collection
  • Contribute to an excellent candidate experience from application to onboarding


Employee Relations & People Support

  • Serve as the first point of contact for employee queries on HR policies and processes
  • Support documentation for disciplinary, grievance, and performance management cases
  • Schedule and track exit interviews, analysing trends on engagement and attrition
  • Assist with organizing staff wellbeing and employee engagement activities


HR Compliance & Records Management

  • Help track and report on compliance with NHS, CQC, and internal regulatory requirements
  • Monitor completion of mandatory training and professional registrations
  • Maintain up-to-date and accurate employee records (right-to-work, certifications, licenses)
  • Support audits by ensuring all HR documentation is complete and compliant


Payroll Coordination & HR Data Support

  • Assist in gathering and verifying payroll input data, including timesheets and attendance
  • Process new joiner and leaver data accurately for payroll and benefits administration
  • Support employee benefits queries and pension documentation
  • Maintain confidential payroll records with strict attention to data privacy


Learning & Development Administration

  • Coordinate scheduling of mandatory training, workshops, and L&D sessions
  • Track learning completion status and maintain accurate training records
  • Liaise with training vendors and educational institutions
  • Help maintain internal learning systems and platforms


General HR Administration & Projects

  • Generate basic HR reports and dashboards for internal review
  • Support the execution of HR projects, employee surveys, and engagement initiatives
  • Ensure strict GDPR and data protection compliance in all documentation
  • Contribute ideas for process improvement and enhanced employee experience


Required Experience & Qualifications


Education & Experience

  • 0–3 years of HR-related experience, preferably in healthcare, NHS, or other regulated sectors
  • Bachelor’s degree in human resources, Business Administration, or equivalent experience
  • Basic understanding of UK employment law is desirable
  • Exposure to healthcare sector compliance (NHS/CQC) is an advantage


Skills & Competencies

  • Strong organizational and administrative capability
  • Excellent communication (verbal and written)
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to handle sensitive information with discretion
  • Strong time management with the ability to prioritize
