Job Title: Executive – Facilities (Soft Services)

Role Overview
The Executive – Facilities (Soft Services) will be responsible for managing day-to-day operations related to soft services at Pune facility. The candidate will oversee housekeeping, cafeteria services, client visits, space management, vendor operations, audits, and ensure adherence to safety and compliance protocols. The role also includes coordination with cross-functional teams and leadership on administrative and infrastructure-related projects.
Key Responsibilities
Facility & Soft Services Management
- Oversee all soft services, including housekeeping, front desk, cafeteria, and pantry operations
- Manage client visits and ensure facility readiness
- Supervise space planning and office utilization
- Coordinate Facility Operations (FO) support and infrastructure maintenance
Operations
- Manage AMC and service providers for non-technical and technical maintenance
- Create and monitor Preventive Maintenance Schedules (PPM)
- Maintain asset and warranty records for all facility equipment
- Resolve employee issue for Concur / NDC (PAN India)
Safety & Compliance
- Issue and review work permits (confined space, electrical, hot work, etc.)
- Ensure compliance with OHSAS, EMS, and organizational safety policies
- Conduct safety training for contract staff and ensure EOHS adherence
Vendor Management
- Train vendor staff under “Back to Basics” and other development programs.
- Monitor vendor performance and ensure compliance with SLAs.
- Handle vendor-related documentation, including NDCs.
Audit & Legal Compliance
- Serve as auditee for internal and external audits (ISMS, BCMS, OHSAS, PIMS, EMS, etc.)
- Maintain statutory licenses and ensure 100% compliance (EOHS/Enforce Tool/Aparajita)
- Prepare and maintain necessary audit documentation
Project & Budget Management
- Support and lead infrastructure projects like ODC creation and expansion
- Assist in CapEx/OpEx procurement planning and budget adherence
- Prepare and analyze monthly expense reports related to facilities
MIS & Reporting
- Generate daily/weekly/monthly MIS reports (e.g., power consumption, maintenance).
- Participate in regular facility review meetings
- Prepare AOP and support data justification for procurement plans
Customer Experience & Internal Collaboration
- Ensure high levels of customer satisfaction through service excellence
- Collaborate with internal teams and leadership on office events and key initiatives
- Continuously monitor and improve service delivery metrics

Preferred Candidate Profile
- Graduate with 5–10 years of experience in facility management or hospitality (corporate/large office environments preferred)
- Experience in managing operations for a site with over 4,000 employees and 42,000 sq. ft. of space
- Proven track record in managing soft services with a customer-focused mindset
- Experience in managing audits, safety protocols, and sustainability initiatives
