Head of Operations – Projects

 

Key Responsibilities:


Project Delivery Oversight


  • Track timelines and deliverables across all projects in coordination with project leads 
  • Proactively identify and resolve bottlenecks in project execution 
  • Align resource deployment with project deadlines and fee milestones 
  • Maintain a

    master schedule

    to track all projects firm-wide 
  • Hold

    weekly check-ins

    with project leads to review progress and flag delays early 

 


Financial & Performance Monitoring

  • Monitor time spent vs allocated hours, utilized hours and fee earned to maintain project profitability 
  • Support invoicing schedules aligned with deliverables 
  • Generate reports on resource usage, project margins, and operational KPIs 
  • Adjust resources proactively to prevent slippages 

 


Quality & Process Improvement


  • Work with project leads to ensure high-quality output 
  • Regularly review studio operations for inefficiencies and implement improvements 
  • Drive documentation standards, file management, and QA/QC enforcement 
  • Develop and enforce templates, drawing standards, and checklist protocols. 
  •  

Education and Key Skills:

  • B.Tech/B.Arch with an MBA degree is preferred 
  • Strong leadership and decision-making capabilities in a fast-paced, design-focused environment. 
  • Exceptional analytical and planning skills with attention to operational detail. 
  • Proficiency in tools such as MS Projects, Advanced Excel, ERP systems, and time-tracking software. 
  • Excellent communication and interpersonal skills to work across departments and geographies.
