Job Description

A Senior Back Office Executive oversees and manages various administrative, operational, and support functions within a company, ensuring smooth and efficient daily operations. They handle data management, record keeping, workflow coordination, and communication, often acting as a liaison between different departments and senior management. This role requires strong organizational, analytical, and communication skills, as well as proficiency in relevant software and technologies. Key Responsibilities:

  • Data Management and Analysis:Gather, organize, and analyze data to support business operations and provide insights to management. This includes maintaining accurate records, creating reports, and identifying trends.
  • Workflow Coordination:Streamline and coordinate workflows between different departments, ensuring seamless communication and collaboration.
  • Administrative Support:Manage schedules, appointments, and travel arrangements. Handle correspondence, prepare documents, and maintain files (both physical and digital).
  • Compliance and Policy Implementation:Ensure adherence to company policies and procedures, as well as relevant regulations and compliance requirements.
  • Project Management Support:Assist with project-related tasks, such as tracking timelines, coordinating resources, and ensuring timely delivery of supplies.
  • Customer Interaction:In some cases, back office executives may interact with customers to resolve inquiries or provide support.
  • Team Leadership:May supervise and mentor junior staff members, providing guidance and support.
  • Process Improvement:Identify opportunities to improve efficiency and effectiveness of back-office processes and procedures.

Skills and Qualifications:

  • Strong organizational and time management skills: Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Excellent communication and interpersonal skills: Ability to communicate effectively with colleagues at all levels, both verbally and in writing.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint): Ability to use these tools for data management, report generation, and presentations.
  • Analytical and problem-solving skills: Ability to analyze data, identify issues, and develop solutions.
  • Attention to detail and accuracy: Ensuring accuracy in data entry, record keeping, and other tasks.
  • Experience in a back office or administrative role: Proven experience in a similar role, preferably with some supervisory experience.
  • Knowledge of relevant industry regulations and compliance requirements: Understanding of relevant laws and regulations that impact the business.
