Job Description

1. What are the main reasons for wanting to hire this person (new/replacement/growth/other)? Growth 2. Who will this position report to, and how frequently will they communicate and meet up? Reports to: Sr Management at Mumbai office (Sneha, Anjali, Varun) Engagement Frequency: Regular updates, cross-functional meetings, strategic planning sessions 3. What is the biggest or most critical problem this person needs to solve immediately? · Putting systems in place for office admin and basic HR 4. What are the key objectives in the first 30 days? · Understand how to give induction for new joiners for both Vinmart Group and TMC such that any new joinees receive induction through this candidate · Maintain attendance register and leave management, including assisting for payroll calculation · Office facility management, including putting systems in place for cleanliness, office catering (e.g. coffee, tea, etc.), managing plants, etc. o Office maintenance staff will be reporting to this person so hiring and managing them · Maintaining any office-related paperwork, including coordinating with EIPL and TMC for rent payments, ensuring all required documents are in place · Meeting and greeting guests and ensuring guest management protocol is followed · Reviewing electricity/water bills and payments · Travel bookings for shareholders · Any personal follow up requirements given by shareholders (e.g. vendor follow up, purchase tracking/follow up, etc) 5. What are the key objectives in the first 90 days? · Coordination and management of any office events · Guest management (tickets, visas, stay, etc) · Guesthouse management, including oversight of cook/cleaners · Logistics management for · Preparing and maintaining office budget, cash and payment handling for office expenses, maintaining expense ledger and reporting · Receiving and directing calls received to the office, taking messages and passing on to the relevant person 6. What are the key objectives to achieve in the first 6 months? · Scale reporting to include predictive and prescriptive analytics where applicable · Ensuring all team members’ KRAs are set and being monitored (after receiving training from Group HR) · Handling all regulatory compliance requirements (e.g. for GST compliance, tax compliance, regulatory compliance, bank compliance and coordination) · Handling office disputes, challenges faced by team members, etc 7. What is the most important key deliverable/result we want to achieve 1 year from now? · Responsible for office management along with HR/Admin 8. How will we measure this person's success and contribution in financial terms? · Office budget maintained · Ensuring all required payments are done in a timely manner and without errors (from salary to vendor payments) 9. What team will this person be part of and/or need to manage/lead? This person will be a part of the Mumbai office team and will manage the office boy/lady and cleaner and guesthouse 10. What critical expertise, skills and competencies must this person have to do their job well? · Strong written and spoken English, Hindi, and Marathi · Experience in overseeing and managing blue collar workers (e.g. cook, cleaners, drivers, etc) · Experience preparing reports, making budgets, etc · Experience handling all regulatory compliance requirements (e.g. for GST compliance, tax compliance, regulatory compliance, bank compliance and coordination) · Strong communication and stakeholder management skills · Has basic HR/Admin experience running an office · Should have managed the above role by themselves and without additional team members · Strong IT skills (MS Office, AI Tools) 11.
