Roles & Responsibilities
1. General Administration & Operations
Handle all external communications regarding administrative and statutory affairs.
Ensure the registered office (Koramangala) and hospital center maintain high standards of cleanliness and hygiene, in collaboration with the housekeeping team.
Coordinate travel, meetings, and events while keeping stakeholders informed through timely updates and process advance payments and bill reimbursements.
Maintain and consistently update a centralized database for visitors, insurance providers, educational institutions, and other stakeholders.
Oversee petty cash transactions, reconcile receipts, and ensure structured filing and documentation for financial transparency.
Liaise with the outsourced IT team to resolve technical issues, manage biometric systems and internet connectivity, and oversee facility maintenance for smooth hospital and office operations.
2. Procurement and Asset Management
· Facilitate the prompt procurement of office supplies and refreshments to support daily operations.
· Manage asset and non-asset purchases in alignment with financial policies, ensuring timely labeling of newly acquired assets.
· Coordinate with the Finance team to conduct 2-3 internal audits annually, maintaining accuracy and compliance.
· Strengthen vendor and stakeholder relationships through effective coordination and engagement.
· Maintain professionalism and efficiency when liaising with clients, vendors, and consultants.
· Track and manage all invoice records, ensuring timely coordination with Finance for reimbursements and billing.
· Maintain an updated vendor database and secure competitive quotations for cost-efficient procurement.
· Keep a precise asset register and ensure all organizational assets remain insured as per company policy.
3. Human Resources
· Oversee the complete employee lifecycle, including recruitment, onboarding, induction, and exit processes.
· Ensure accurate and timely payroll processing, both manually and via GreytHR, while maintaining statutory compliance.
· Align all HR activities with internal policies and regulatory requirements.
· Maintain comprehensive employee records, including contracts, personal files, and agreements, in both digital and physical formats.
· Monitor and verify attendance and leave records on GreytHR, maintaining audit-ready documentation.
· Ensure adherence to labor laws and HR statutory regulations.
· Track and coordinate employee training and development programs, keeping the training calendar up to date.
· Promote a healthy work culture that supports employee well-being and engagement.
· Support performance management initiatives, such as probation reviews and annual appraisals.
· Organize POSH (Prevention of Sexual Harassment) training sessions and ensure timely Internal Committee (IC) meetings per legal compliance.
· Manage timely renewal of vendor and consultant agreements, keeping an accurate tracker.
Qualification:
MBA in HR/Healthcare
Excellent communication, interpersonal, leadership & problem-solving skills
Ability to work independently & as part of a team.

Days and Timings 10 am to 6 pm, Monday to Saturday
