Position Overview

The

Executive Assistant to the Chairman

will serve as a trusted support professional, responsible for providing high-level executive, administrative, strategic, and operational support to the Chairman of Allmarc Industries Pvt. Ltd. This role demands impeccable organizational skills, exceptional communication abilities, a high degree of confidentiality, and proactive coordination across departments and business verticals (Engineering, Scaffolding, Renewable Energy, Formwork, and Custom Fabrication). The ideal candidate will possess a sharp business acumen, a solution-oriented mindset, and the ability to manage complex schedules, strategic projects, and stakeholder engagements.

Key Responsibilities

Executive & Strategic Support:

Manage the Chairman’s calendar, schedule high-level meetings, appointments, and travel logistics across domestic and international engagements.Prepare and review briefing materials, reports, presentations, and communication for board meetings, investor sessions, and key stakeholder reviews.Coordinate and follow up on critical internal and external communications on behalf of the Chairman.Assist in the execution and monitoring of strategic business initiatives, performance review meetings, and project status reports.

Confidential & Compliance-Oriented Support

Handle sensitive information and maintain the highest level of confidentiality in all corporate matters.Liaise with the Legal, Finance, Compliance, and HR teams to ensure the Chairman’s directives comply with company policies, labour laws, and statutory obligations (India, UAE, Singapore, EU).Track and monitor confidential contracts, NDAs, MoUs, and international agreements related to Allmarc Group operations.

Business Coordination & Stakeholder Management

Act as a liaison between the Chairman and all vertical heads, external business partners, government officials, and global clients.Coordinate board meetings, prepare agenda, draft minutes, track follow-ups, and ensure execution of decisions.Prepare business MIS, competitor analysis, strategic decks, and presentations for high-level business reviews.

Operational Oversight & Special Projects

Assist the Chairman in driving group-level operational reviews, cost optimization initiatives, new business development projects, and investor relations.Coordinate across Allmarc Industries, Allmarc Scafform, Fabelle Engineering, and Passiemech Industries on special assignments and confidential business mandates.

Key Result Areas (KRAs)

Effective and proactive management of the Chairman’s calendar and priorities.Timely and accurate communication on behalf of the Chairman across all stakeholders.Execution and monitoring of strategic initiatives delegated by the Chairman.Efficiency in organizing high-level reviews, follow-ups, and compliance documentation.Professional management of external communications and partner coordination.

Key Performance Indicators (KPIs)

100% adherence to scheduled meetings, travel plans, and business commitments.Turnaround time for reports, presentations, and internal communications.Accuracy and quality of business documents, board decks, and MoMs.Stakeholder satisfaction rating (Chairman, Business Heads, Clients).Confidentiality breaches – Zero tolerance.Timely execution of project-level tasks and strategic directives.

Qualifications & Experience

Graduate/Postgraduate in Business Administration, Management, or related fields.5–10 years of experience as an Executive Assistant or similar role supporting C-Suite leaders (preferably in Manufacturing/Engineering/Infrastructure sector).Proficiency in MS Office Suite, Excel (Advanced), PowerPoint, Outlook, and digital collaboration tools.Excellent English communication skills – written and verbal.Strong understanding of business etiquette, international travel protocols, and stakeholder diplomacy.
