Job Responsibilities: Administrative Support: Provide high-level administrative and organizational support to the Director. Manage and coordinate the Director’s calendar, schedule meetings, appointments, and travel itineraries. Prepare daily, weekly, and monthly agendas and brief the Director on upcoming commitments and responsibilities. Meeting Coordination & Representation: Attend internal and external meetings on behalf of the Director as required. Take detailed meeting minutes, follow up on action items, and ensure timely closure of pending issues. Coordinate logistics and documentation for board meetings, reviews, and presentations. Reporting & Analysis: Generate and analyze sales reports on a weekly, monthly, quarterly, and yearly basis. Prepare closure reports, performance summaries, and presentation materials. Provide data-driven insights and recommendations to assist in decision-making. Communication & Correspondence: Draft, review, and proofread emails, letters, and documents with a high level of accuracy and professionalism. Maintain excellent command of written and spoken English for effective internal and external communication. Act as a point of contact between the Director and internal/external stakeholders. Team Coordination: Liaise with different departments and support teams to ensure smooth workflow and information exchange. Assist in managing teams by delegating tasks, monitoring performance, and ensuring deadlines are met. Facilitate internal communication and support team operations to align with organizational goals. Client Relations & Travel: Coordinate and accompany the Director on client visits and official travel as required. Maintain relationships with key clients and ensure professional representation of the organization. Prepare travel plans, expense reports, and post-visit summaries. Operational Oversight: Maintain and track daily updates of meetings, project status, and pending issues for the Director. Ensure confidentiality and discretion in handling sensitive business and personnel information. Support in organizing events, corporate programs, and special projects as assigned.
