JOB PURPOSE:

JOB RESPONSIBILITIES / FUNCTIONAL DUTIES:

Vendor Inspection Co-ordinator

1. Inspection Planning & Coordination

  • Develop and maintain the

    Vendor Inspection and Test Plan Matrix (ITP)

    in line with project schedules for long-lead and critical equipment.
  • Identify inspection requirements and classify items based on criticality (e.g., ITP levels).
  • Coordinate with QA/QC team, procurement, and engineering for inspection requirements.
  • Identify inspection class levels based on equipment type, criticality, and project risk.
  • Align inspection scope with contractual specifications, API/ASME/IEC standards, and project QA/QC plans.

2. Inspector Mobilization, Execution and Co-ordination

  • Assign and mobilize qualified

    third-party inspectors (TPIs)

    or in-house inspectors at vendor works/fabrication yards globally.
  • Liaise with inspection agencies to arrange site visits in line with vendor readiness.
  • Coordinate with vendors, engineering, procurement, and approved Third Party Inspection (TPI) agencies.
  • Ensure readiness for pre-inspection meetings (PIMs), FAT (Factory Acceptance Tests), and stage-wise inspections.

3. Documentation and Technical Compliance

  • Review and approve documents submitted by vendors like

    Inspection and Test Plans (ITPs)

    , QAPs, WPS/PQRs, NDE Procedures, Calibration reports etc.
  • Ensure inspection and documentation align with

    ASME, API, ISO, IEC

    , and project-specific standards.
  • Ensure inspections are performed as per ASME Section VIII, API 6D, 5L, ISO 9001, NACE, and project-specific standards.
  • Validate Material Test Certificates (MTCs), hydro test results, and final dimensional checks.


4. Quality Monitoring & Reporting

  • Monitor and ensure progress of inspections and ensure timely submission of

    Inspection Reports

    ,

    Release Notes

    , and

    Final Dossiers/MRBs.

  • Track and report

    non-conformities (NCRs), Inspection Punch Points,

    and follow up on

    vendor corrective actions.

  • Maintain detailed inspection records and logs.
  • Maintain inspection status trackers and report to QA/QC or project leadership regularly.

5. Documentation & Certification

  • Ensure vendors submit

    Manufacturing Record Books (MRBs)

    and other final documentation as per PO.
  • Verify all inspection release notes, certificates (e.g., mill test, calibration, compliance).

6. Vendor Communication & Stakeholder Interface

  • Act as central point of contact between EPC company’s Engineering & Procurement Departments, TPI agencies, Client(s) and Vendors regarding inspection status, clarifications, and technical queries.
  • Participate in vendor qualification audits and support pre-award technical assessments.
  • Conduct or participate in

    pre-inspection meetings (PIMs)

    with vendors.

·     Escalate inspection delays, fabrication slippage, and quality risks promptly.


EDUCATIONAL QUALIFICATIONS AND COMPETENCIES

Qualifications & Skills Required:

  • Bachelor’s degree in Mechanical / Electrical / Instrumentation Engineering

    or equivalent.
  • 5–10 years of experience

    in vendor inspection, preferably in oil & gas, petrochemical, or power EPC projects.
  • Proven background in

    Rotating/Static equipment, Packages, Valves, Skids, Instruments, Electrical panels

    , and

    Piping components

    .
  • Knowledge of international standards:

    ASME, API, ASTM, IEC, ISO, DIN, IEC, NACE, ATEX

    etc.
  • Familiarity with expediting, procurement, fabrication processes, and document control.
  • Proficient in

    MS Office

    and

    project tracking tools

    .
  • Excellent organizational, communication, and coordination skills.


Preferred Certifications:

  • CSWIP 3.1/3.2, AWS-CWI / API / NACE / ISO 9001 Lead Auditor
  • Knowledge of ERP systems like SAP / Oracle JDE / SmartPlant Materials
  • ISO 9001 Lead Auditor


Technical Skills

  • Proficient in MS Office, Excel trackers, and document control software


Performance Indicators:

  • Timely completion of all vendor inspections
  • % of successful inspections on first visit (no NCRs)
  • Vendor NCR closure within SLA
  • Compliance to procurement delivery schedule
  • Quality documentation completeness (MRB, ITP, release notes)

  • Ability to work under pressure and across multiple vendor locations
