Job Description:
The Operations Specialist is responsible for coordinating, analyzing, and processing the functional requests. The goal of this job role is to ensure accurate and timely support to Medline’s backend business operations. The Operations Specialist will ensure proper stocking of inventory in all branches for the Division. You will coordinate with the Product Managers and Inventory Management to discuss action plans to determine how to provide the best service to Medline's customers.Some of the responsibilities are:
  • Work closely in coordination with teams in India and US to perform various reports
  • Coordinate inventory levels (surplus, stock transfers, returns, DEDs, slot holds). Contact branches to receive product break downs and/or to offer a solution for Sales.
  • Review and approve all DED requests.
  • Process all returns. Review all AP issues with vendors (overbill notices, problem tickets, debit memos and credits) and slot holds.
  • Respond to product information requests from the sales force. Provide Sales the appropriate Medline preferred cross-reference literature brochures.
  • Assist with the over flow calls from the Product Support team.
  • Review: back order report, surplus report, customer requested product stocking (DEDs/ RCIs), HOTSHEETS and open Purchase Order reports.
  • Resolve the discrepancies within the data by coordinating with the correct stakeholder.
  • Monitor for data accuracy, timeliness, and integrity in data used in analysis and reporting. Communicate to appropriate personnel if data inaccuracies exist.
  • Run HOLD/Surplus/Expiration/Service report for division monthly.
  • Work with Sales to sticker and release kitting SKU’s for all items under EDVK hold
  • Resolve and minimize surplus while maintaining service under direction of corporate guidance
  • Weekly Overbill tracking reports and Resolve Invoice Discrepancies
  • Identify root cause for invoice discrepancy, pricing discrepancies and work with US and Shanghai team to get them resolved. Update costing when necessary
  • QA and PM’s can return with scrap/stock transfer/RTV s decisions to operations team, so these orders should be processed on a priority basis
  • Identify top suppliers causing service issue’s to distribute to corporate team
  • Run monthly save and spend reports
  • Review and provide ETA & tracking requests as and when required
  • Monitor rolling forecast and allocation
  • Work with Division manufacturing sites to assist with any potential production disruptions
  • Track new business for the Insertion team
  • Support any additional projects/tasks to accomplish divisional/organizational goals.
Required Skills / Experience:
  • Bachelor's degree preferred.
  • Must be detail-oriented with strong analytical skills.
  • Excellent communication and problem-solving skills are required.
  • Excellent follow-up skills are required.
  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
  • Intermediate level skill in Microsoft Access (for example: designing and creating simple queries, modifying data types, adding dates, working with required fields and/or creating labels). Highly driven and self-motivated personality required.
  • SAP is a plus
Educational Qualification: Any Graduate / Post Graduate degree
Work Experience: 2-5 years of relevant experience including experience working with large datasets involving data. Transformation and manipulation using Excel.
