Role Description

This is a full-time, on-site role for an Executive Assistant to the Managing Director located in Surat. The Executive Assistant will be responsible for providing executive administrative assistance, managing diaries, and executive support including scheduling and coordinating meetings. Additionally, the role involves handling communication on behalf of the Managing Director, organizing and maintaining records, and assisting with various administrative tasks to ensure efficient operation.


Qualifications

Executive Administrative Assistance and Executive Support skills

Administrative Assistance and Diary Management skills

Excellent communication skills

Strong organizational and multitasking abilities

Ability to work independently and manage time effectively

Proficiency in MS Office Suite and modern office technologies

Bachelor’s degree in Business Administration or a related field is a plus

Previous experience in a similar role preferred


Key Responsibilities:

Schedule Management: Organizing and maintaining executive calendars, scheduling meetings, and managing appointments.

Communication: Handling phone calls, emails, and other correspondence, acting as a point of contact for internal and external stakeholders.

Travel Arrangements: Coordinating travel logistics, including flights, accommodations, and itineraries.

Document Preparation: Creating and editing reports, presentations, and other documents.

Meeting Support: Preparing meeting materials, taking minutes, and ensuring smooth meeting logistics.

Project Management: Assisting with special projects, tracking deadlines, and coordinating resources.

Confidentiality: Maintaining strict confidentiality with sensitive information and communications.

Event Planning: Organizing and coordinating corporate events, both on and off-site.

Office Management: Managing office supplies, equipment, and other administrative tasks.

Excellent written and verbal communication skills for interacting with various stakeholders.

Ability to identify and resolve issues proactively and efficiently.
