Job Description

Key Responsibilities: Project Coordination & Tracking: Serve as the internal point of contact for assigned signage projects post-sales closure. Responsible for retention of business from the existing client and forging ground for new business from the same clients. Create and maintain detailed project files, ensuring all client requirements, specifications, and approvals are accurately documented. Monitor project timelines and milestones, proactively identifying and reporting potential delays to relevant teams and the client. Track the status of materials, production, dispatch, and installation for each project. Supporting the other team members in project execution. Reconciliation of the invoices every fifteen days with accounts team. Preparing the cost sheet with PNL of the project. Client Communication & Relationship Support: Provide regular, proactive updates to clients regarding project progress, dispatch details, and installation schedules via email and phone. Address client queries related to project execution, logistics, and timelines in a professional and timely manner, escalating complex issues when necessary. Ensure all client communication is clear, accurate, and reflects the company's commitment to service excellence. Internal Liaison & Documentation: Coordinate effectively with the Sales team for project handover details and client expectations. Liaise with the Design team to ensure artwork approvals and specifications are met. Communicate production schedules and material requirements to the Production and Store teams. Coordinate dispatch details and logistics with the Dispatch team, including tracking and proof of delivery. Follow up with the Installation team for completion reports and site photos. Prepare and manage all necessary internal documentation, including work orders, job sheets, and material requests. Quality & Issue Resolution: Assist in identifying and documenting any discrepancies or issues during project execution and coordinating with relevant departments for resolution. Ensure all project documentation is complete for invoicing and audit purposes. Reporting: Generate regular project status reports for internal stakeholders and clients. Qualifications: Bachelor's degree in any discipline. A degree in Business Administration, Operations Management, or related fields is a plus. 2-4 years of experience in a customer support, back-office, or project coordination role, preferably within the signage, advertising, or events industry. Proven experience in managing complex projects or client accounts requiring multi-departmental coordination. Excellent written and verbal communication skills in English and Hindi. Strong organizational skills and meticulous attention to detail. Proficiency in MS Office Suite, particularly Excel (for tracking and reporting),PPT and comfortable with CRM software. Ability to multitask, prioritize, and manage time effectively in a fast-paced environment. Proactive problem-solver with a strong customer-centric approach. Ability to work collaboratively with various internal teams.
