Job Description

We are seeking Senior Executive Assistant to provide high-level administrative support to the Managing Director & executive leadership, ensuring efficient operation of the managing director’s office. This role requires a proactive, highly organized, matured & discreet professional with exceptional communication & time-management skills. The ideal candidate is capable of managing multiple priorities/projects with accuracy & confidentiality.


Key Responsibilities:


MD’s Support

  • Manage & prioritize the Managing Director’s calendar, travel, including scheduling internal & external meetings, appointments accordingly.
  • Act as a middle line & liaison between the Managing Director & internal/external stakeholders.
  • Prepare & edit correspondence, reports, presentations & other documents. (Mail, WhatsApp & digital)
  • Handle confidential information with a high degree of discretion & professionalism.
  • Coordinate logistics for all / board meetings, executive offsites & leadership retreats.

Operational Efficiency

  • Ensure timely follow-up on action items / projects & deliverables from meetings & communications.
  • Draft briefing materials & summaries for meetings & events.
  • Maintain effective document & file management systems.
  • Monitor & manage expenses, budgets & reimbursements related to the executive office.
  • Lead or support special projects, as assigned by the Managing Director.

Stakeholder Engagement

  • Interface with senior executives, board members, partners, & clients on behalf of the Managing Director.
  • Support communications from the executive office, including announcements, memos & stakeholder correspondence.

Team Collaboration

  • Serve as a resource for other executive assistants & support staff.
  • Assist in onboarding new senior team members or direct reports to the Managing Director.
  • Ensure alignment & coordination across departments when scheduling or communicating on behalf of the Managing Director.


REQUIREMENTS

  • Previous experience supporting a Managing Director, CEO, or Board of Directors.
  • Familiarity with corporate governance and board procedures.
  • Project management experience or certification.
