Key Responsibilities

  • Department & Production Oversight: Supervise internal departments and oversee the vendor production pipeline across the department. Own and maintain department and vendor schedules with clearly defined deliverables and approval loops. Identify risks and solve problems proactively across both internal and external teams.
  • Vendor Management: Act as the primary point of contact between the studio and vendor partners. Drive accountability and ownership among vendor teams through regular check-ins, clear documentation, and milestone tracking. Review vendor schedules, ensure milestones are met, and flag any deviations early. Facilitate seamless asset and shot ingestion from vendors into the studio pipeline.
  • Cross-Functional Collaboration: Liaise between creative leads, internal production, and external vendors to ensure alignment on creative vision, priorities, and deadlines. Coordinate with the pipeline and tech teams to ensure smooth data transfers, naming conventions, and file compliance across sites.
  • Tracking & Reporting: Maintain detailed task trackers, delivery logs, and review notes using production tools [Shotgrid, Excel, GSuite]. Compile weekly reports and vendor performance summaries for internal leadership.
  • Review Sessions & Feedback Loop: Set up and moderate daily/weekly vendor review calls. Ensure clear and consolidated feedback is shared and tracked to completion.

Qualifications

  • 4 - 6+ years of experience in CG animation, VFX, or animated series production, with at least 2 years handling outsourced/vendor workflows.
  • Proven success in vendor management, including schedule planning, QC follow-ups, and production escalations.
  • Strong understanding of CG animation production stages.
  • Experience working with vendor ecosystems.
  • Proficiency in tools like Shotgrid, Google Suites, Zoom, Excel, and production databases.
  • Ability to coordinate across time zones.
  • Excellent written and verbal communication skills.
