Pricing Quote Contract Management Specialist - Freight Shipping Logistics As a Contract Management Coordinator, you will be the primary contact for regional contract management teams, ensuring the accuracy and validity of ocean contracts and rates. You will manage the documentation and maintenance of all CMT carrier processes, acting as the subject matter expert for contract-related issues. Essential Functions/Major Responsibilities : Responsible for all accounts receivable duties that pertain to the collection, cash applications, and research into customer claims. Contacts customers on all past due items such as invoices, claims, billings, etc. Documents all correspondence with customers, whether by phone, e-mail, video, related to payment for open items. Identifies, researches, and validates all customer deductions, i.e., claims or short pays, taken on payments. Assist in gathering documents related to billing data (PODs, POs, Invoice copies, etc.) and route to proper owners of the information when unavailable. Claims commonly researched are for shortages, pricing discrepancies, promotional allowances, return of resalable merchandise, return of defective merchandise, and various violations. Generates cash batches in the system to facilitate the application of incoming cash receipts. Utilize tools such as Dunning process, SAP, ESKER to collect receivables. Verifies the accuracy of the payments that have been keyed by the lockbox for all payments. Retrieves any payment remittance information not forwarded by the lock boxes. Researches the individual payments and deductions on each remittance for appropriate coding, value, and accuracy. Processes customer payments received via credit card by submitting confidential information for payment through the banking system. Matches customer debit memos with the incoming claims and then appropriately codes based on the description noted on the claim. Ensures accurate follow-up with the Customer Service Department, IT Department, Distribution Centers, Sales Field Personnel, Sales Representatives, Freight Carriers, and customers. Processes valid claims for crediting and pursues invalid deductions for repayment. Provides the customer with documentation to help them verify and validate their open balances with prAna or SAP, in addition to electronic statements that are sent monthly. Provides information such as open aging reports, invoice copies, Bills of Ladings, proofs of delivery, and credit memos. Reconciles accounts by reviewing aging reports for matching invoices, credit memos, payments, debit memos, etc. Works in conjunction with the Customer Service or Sales Departments for the creation of outstanding account receivable items, billings/credit memos to accurate the account receivable for any errors in those departments, or in the field. POSITION : Regional Logistics Manager South & East REPORTS TO : Manager Logistics India LOCATION : Mumbai KEY PURPOSE This role will be responsible for South & East logistics and distribution management for India business which will entail warehousing management, last mile delivery to final customers and cost saving initiatives. This role will be required to coordinate with planning team, manufacturing plants, logistics partners, customers and sales organization and to build and deploy logistics and distribution strategy to support high levels of customers service / responsiveness at lowest possible cost. KEY RESPONSIBILITIES Build and deploy distribution strategy (route to market) including transportation, warehousing and last mile delivery to support distribution growth. Manage logistics from supply plants (3-5 in numbers) to distribution centers across the country (8-10 in numbers) Responsible for complete warehousing and CFA management across the country for both ambient and frozen products Manage transportation from plant / distribution centers to final customer including route / vehicle planning for both modern and traditional trade to optimize customer service and freight. Responsible for ensuring high levels of Customer service (Viz DIFOT, Fill Rate etc.) at least possible Logistics and Distribution cost. Responsible for preparing annual logistics budgets and to ensure operations within budgeted spends. Direct and control warehousing activities to ensure efficient and economical utilization of facilities for storage, repacking and distribution. Ensure appropriate financial, operational, quality controls and statutory / regulatory compliance to ensure operations in line with corporate requirement. Design and facilitate the implementation of innovative and technology driven logistics solutions. Use advanced methodologies for operational planning that optimizes Supply Chain Operations` assets to achieve strategic and tactical deliverables. Responsible for managing performance of all service providers through contracts / service level agreements, monitoring and operations reviews. Establish mechanisms to monitor, review and report KPI s (e.g. cost, customer service, controls etc.) around effective management of logistics and distribution. Responsible for developing suppliers / service providers to provide logistics solutions to support efficient and effective distribution. Responsible for analyzing and reviewing new and potential customers operational requirements. Prepare and review contracts (including solution designs, pricing and other information).
