Position Overview

Operations Manager

Responsibilities:

Client & Program Operations

• Manage and track client onboarding process (intake forms, blood reports, documentation).
• Coordinate with nutrition and sales teams for client handovers post-payment.
• Ensure accurate, timely sharing of client data with internal teams.
• Handle client escalations and resolve concerns professionally and empathetically.
• Ensure timely responses from nutrition team to all clients 
• Initiate and close client groups and share official communications such as pauses and feedback forms with them on the groups and on email
• Support the nutrition team in document creation on Canva (onboarding documents, recipe templates)

Internal Coordination

• Align discovery call slots with the nutrition team based on availability.
• Work with the sales and nutrition teams to finalise call schedules.
• Liaise with social media, content, and website teams for operational support when needed.
• Support Accounts team by facilitating invoice creation, payment confirmations, and follow-ups.

People & Process Management

• Track employee leaves, manage time-off calendars, and ensure smooth handovers during absence.
• Support in training incoming team members and ensuring SOP compliance.
• Prepare biweekly performance and operations reports with actionables.
• Assist in maintaining up-to-date SOPs for operations and internal workflows.

Qualifications

• Bachelor’s degree in Business Administration, Operations, or related field.
• 1–3 years of experience in operations, client servicing, or project coordination.
• Excellent written and verbal communication.
• Strong organisational, multitasking, and problem-solving skills.
• Proficiency in Google Workspace (Docs, Sheets, Drive, etc.)
