Weâre an India-based digital agency with a strong backend team across India and beyond. Now, weâre hiring a smart, reliable, and proactive Virtual Assistant to help streamline operations, client communication, and internal coordination.
This is not a generic VA role. Weâre looking for someone who understands how to support a founder, keep projects moving, and make sure no ball is dropped. Youâll be the glue between our team and our clients.
What Youâll Be Responsible For:
Client Coordination
â˘â  â Acknowledge and forward client messages, emails, and updates (no cold calling or sales)
â˘â  â Ensure client requests are properly captured, clarified, and shared with relevant team members
â˘â  â Follow up with clients for pending feedback, assets, or approvals
â˘â  â Share completed work via WhatsApp/email, manage polite and timely communication
Project & Task Tracking
â˘â  â Maintain a daily task sheet or Notion/Trello board showing live project status
â˘â  â Check in with team members (designers, developers, ad managers, etc.) for progress updates
â˘â  â Identify blockers, delays, or missing pieces and flag them
Administrative Support
â˘â  â Draft professional emails and summaries
â˘â  â Schedule meetings and create Zoom/Google Meet links
â˘â  â Organize and maintain shared folders on Google Drive
â˘â  â Prepare and send quotations, invoices, and follow-ups (using Zoho)
â˘â  â Assist in formatting client proposals using pre-written content and templates
Founder Support
â˘â  â Maintain daily to-dos and remind of follow-ups
â˘â  â Prioritize workload and escalate urgent issues
â˘â  â Keep records of all active clients, pending tasks, and billing status
Who Weâre Looking For:
â˘â  â Excellent written and spoken English
â˘â  â Strong attention to detail and follow-through
â˘â  â Prior experience as a VA, operations assistant, executive assistant, or coordinator
â˘â  â Comfortable with tools like Google Docs, Sheets, Drive, Zoom, WhatsApp Web, and Zoho (or fast learner)
â˘â  â Highly organized â you love checklists, reminders, and deadlines
â˘â  â Available full-time (6 days/week, 7â8 hours per day, IST or UAE-aligned hours)
â˘â  â Reliable internet connection and personal laptop
