Administrative Executive

• Making travel arrangements, booking hotels/accommodation, food, for new joinee, inter branch visit of employee, CEO, inter branch transfer of any employee and arranging for audio-video equipment for the meetings, food etc. and manage inter branch visit of employee ( accommodation, travel, food etc. as per policy & budget)
• Taking the purchase requirements from departments, make sure that all the requests are being routed through ERP from the respective center.
• Make sure that all the requisitions are in line with SOP, i.e., image of item, price of previous purchase, stock history, etc.
• Arranging the vendors for the items requested, taking the quotations, and evaluating the vendor’s quotation to ensure that they are in line with the technical and commercial specifications.
• Getting the lowest price quote approved & making the PO with detailed T&C & getting it approved before sharing with the vendor.
• Preparation of purchase orders & approving/checking the invoice with the PO.
• Clearance of shipping parcels. i.e., whether coming from out of India or inter-centre transfers. Booking the parcels, coordinating the delivery.
• Updating and maintaining records of all orders, payments, and receiving stock.
