Job Title: Front Desk Executive cum Office Administrator
Location: Goregaon East, Mumbai
Job Summary: We are looking for a dynamic and proactive Front Desk Executive cum Office Administrator. This role combines front desk responsibilities with office administration to ensure smooth daily operations.
Key Responsibilities:
Reception and Front Desk Management: Greet and assist visitors, clients, and vendors professionally and courteously. Answer and direct incoming calls and manage correspondence (emails, packages, couriers, etc.).
Maintain the reception area in a tidy and welcoming state. Office Agreements & Payments: Maintain and update records of office lease agreements, renewals, and other contracts.
Coordinate with vendors, landlords, and service providers for timely payments and renewals. Track payment schedules, prepare payment requests, and ensure accurate and timely payments. Travel Management:
Coordinate business travel arrangements (flights, hotels, car rentals) for business heads and employees as required. Work with travel vendors/agencies to ensure cost-effective and efficient travel bookings.
Track and maintain MIS for travel & stay costs. Reimbursement Management: Collect, verify, and process reimbursement claims for business heads.
Ensure proper documentation and approvals as per company policy. Coordinate with the finance team to ensure timely reimbursements.
General Office Administration:
Monitor and maintain office supplies and equipment. Source, order, and manage inventory of supplies to ensure office needs are met. Assist in organizing office events and meetings.
Handle day-to-day administrative tasks as assigned. Ensure smooth and efficient workflow in the office.
Qualifications & Skills: Bachelor’s degree in any discipline or equivalent qualification. 2-4 years of experience in front desk management and basic office administration.
Good knowledge of MS Office (Word, Excel, Outlook). Proactive approach with strong organizational and multitasking abilities.
Excellent communication and interpersonal skills with attention to detail.
