About the Role:

We’re hiring a sharp, proactive Executive Assistant to work directly with the Founder of XScale Media. This role is perfect for someone who loves organizing chaos, keeping projects on track, and making sure nothing slips through the cracks.

You’ll be the founder’s right hand — managing their calendar, coordinating between clients and internal teams, and ensuring smooth day-to-day execution across the business.

This is not a typical admin job. You’ll be stepping into a fast-paced performance marketing agency and playing a key role in scaling operations.

Responsibilities:

Founder Support:

• Manage the founder’s calendar, schedule meetings, and handle reminders
• Follow up with leads, clients, and team members over WhatsApp, email, and calls
• Prepare daily and weekly updates for the founder (Founder Briefs)

Client Coordination:

• Welcome new clients and assist with onboarding
• Track progress of deliverables across departments
• Handle client follow-ups, revisions, and updates professionally

Project & Team Management:

• Use LarkSuite to assign and track team tasks
• Ensure delivery deadlines are met
• Coordinate between teams: Copywriting, Design, Funnel, Automation, Ads

Process & SOP Management:

• Maintain and update internal SOPs
• Identify gaps in systems and suggest improvements
• Create repeatable processes for recurring tasks

You’re a great fit if you:

• Are super organized and reliable
• Have excellent written and spoken communication (English + Hinglish is a bonus)
• Can handle multiple things at once without getting overwhelmed
• Have worked in a digital agency/startup or supported founders/CXOs before
• Are familiar with tools like Google Workspace, WhatsApp Web, Notion, LarkSuite, etc.
