Procurement Executive - Event

We are looking for a smart and active Procurement Executive to manage all vendor bookings, purchases, and travel arrangements for our events. This person will handle vendor coordination, price negotiation, team travel, and make sure everything is ready and smooth for every event.

Responsibilities:

• Find and book vendors for event items (lights, sound, décor, printing, etc.)
• Take quotations and get the best rates from different vendors
• Confirm bookings and ensure timely delivery of materials
• Handle vendor payments (advance & final) and maintain payment records
• Coordinate with vendors before and during events
• Keep records of bills, vendor lists, and price details
• Book travel (flights, trains, cabs) and hotels for event team and artists
• Share travel plans with the team and ensure smooth arrangements
• Work closely with the event and operations team to understand all needs
• Solve last-minute vendor or travel issues
• Be available during events to support on-ground requirements

Requirements:

• Experience in procurement or event coordination preferred
• Must Know Excel/Word
• Good at communication and negotiation
• Honest and responsible with handling payments and documents
• Knows how to book travel and manage changes
• Punctual and able to work late or travel if needed
