Job Description

As a Receptionist, your primary responsibility will be to welcome clients, visitors, and employees in a courteous and professional manner. You will need to guide them to the appropriate departments or individuals and assist with any inquiries they may have. Additionally, you will be responsible for answering incoming calls, directing them to the correct person or department, and taking messages when necessary. Providing relevant information to callers and scheduling meetings and appointments for staff or management will also be part of your duties. In this role, you will be expected to handle basic office tasks such as filing, data entry, and managing correspondence. You will also be responsible for maintaining Admin & HR related invoice entries in software, preparing and managing documents and reports, as well as arranging outgoing mail and courier services when needed. It will be essential to keep the reception area organized and ensure it is tidy at all times. Monitoring office supplies and reordering them as necessary will also be part of your responsibilities. Addressing and resolving visitor inquiries and complaints in a professional manner is crucial in this role. You will need to provide support to other staff members as required and maintain a positive first impression for the office. A high school diploma or equivalent is required for this position, and additional certification in office management or related fields is a plus. Previous experience in a receptionist or administrative role is often preferred. To excel in this role, you should possess excellent communication and interpersonal skills. Proficiency in office software, such as the Microsoft Office Suite, is essential. Strong organizational and multitasking abilities are also important, along with the ability to handle confidential information with discretion. Fluency in English is a requirement for this position.
