Job Description

Key Responsibilities

1. Office & Facilities Administration

  • Coordinate daily administrative tasks—scheduling, travel, meetings, correspondence.
  • Maintain records of expenditures, contracts, vendors, insurance, license renewals.
  • Manage office supplies and procurement; liaise with vendors for housekeeping, plantation, pest control, utilities.

2. Fire & Safety Support

  • Assist with periodic inspections, fire drills, equipment servicing, and ensure compliance (NFPA, local fire codes) Expertia+2Jobed.ai+2Indeed+2.
  • Maintain and update safety records, incident reports, training logs, evacuation drills EHSCareers.
  • Coordinate with external teams for certifications/permits renewals and safety audits.

3. Facilities & Maintenance Coordination

  • Schedule and track maintenance for building systems (solar, utilities, vehicles).
  • Support documentation—maintenance logs, utility bills, service contracts.
  • Monitor vendor performance and help supervise housekeeping and facility staff .

4. Project & Asset Assistance

  • Support project admin: overhead solar installations, plantation initiatives.
  • Update asset registers and assist with inventory of facilities-related equipment.

5. Insurance & Compliance

  • Support insurance renewal processes (property, vehicle, liabilities).
  • Keep records of claims, inspections, preventive measures, liaise with brokers.

6. Vehicle & Utility Management

  • Manage schedules, documentation, and maintenance logs for company vehicles.
  • Track utility usage, assist in cost analysis, flag anomalies to Senior Manager.

7. General Support

  • Prepare presentation decks, reports, meeting minutes, and follow up actions.
  • Act as liaison between Senior Manager and internal/external stakeholders.

Qualifications & Skills

  • Bachelor's degree in Business Administration, Facilities Management, Safety, or related.
  • 1–4 years in administration/facilities/safety sectors.
  • Strong organizational skills with high attention to detail.
  • Proficiency in MS Office.
  • Prior experience coordinating vendors and renewals preferred.

Job Types: Full-time, Permanent

Pay: From ₹12,000.00 per month
