Roles & Responsibilities of Spare Parts Executive Maintain optimal stock levels of fast-moving, slow-moving, and critical parts. Ensure proper binning & labeling of parts for easy identification. Conduct regular physical stock audits & reconciliation with the system stock. Minimize obsolete or dead stock by monitoring consumption patterns. Place timely orders with OEM or approved vendors based on consumption and forecasts. Follow up on pending orders to ensure timely receipt. Handle emergency orders for urgent vehicle requirements. Issue parts to workshop (RO) or counter sales as per company process. Ensure accurate billing and documentation (RO, invoice, gate pass). Track parts returns from workshop (due to wrong issue or job cancellations). Attend to retail counter sales customers promptly and guide them on correct parts. Share price estimates and delivery timelines. Handle warranty parts replacement process. Maintain all records related to GRN (Goods Receipt Note), indents, invoices, stock registers. Prepare daily, weekly & monthly reports on stock position, consumption, pending orders, etc. Assist in preparing MIS reports for management. n Coordinate with service advisors & workshop team to understand upcoming requirements. Work closely with accounts for timely payment processing & clearing vendor bills. Ensure storage practices comply with company & OEM guidelines (temperature, shelf-life, safety). Maintain clean and organized stores area to avoid damage & ensure easy retrieval. Achieve sales targets for counter sales & accessories. Promote value-added products and seasonal kits. Ensure timely system entries for receipts, issues, returns, adjustments. Use DMS (like DMS / Autoline / Tally) effectively for inventory and billing operations. ✅ Key Skills Required: Knowledge of automobile spare parts catalogues. Good computer & ERP (DMS) skills. Inventory control & documentation. Customer communication & sales skills. Attention to detail and strong follow-up.
