Job Description

Position Overview: The Receptionist is responsible for managing the front desk, greeting visitors, answering and directing phone calls, and providing administrative support to ensure smooth operations of the office. This position plays a key role in creating a positive and professional first impression for clients, guests, and staff.

Key Responsibilities:

  • Greet and welcome visitors with a professional, friendly demeanor.

  • Answer phone calls, route them to the appropriate department, or take messages as necessary.

  • Provide information and assistance to visitors, clients, and staff.

  • Maintain the front desk area, ensuring it is clean, organized, and presentable.

  • Perform basic administrative tasks, including filing, data entry, and mail distribution.

  • Manage office supplies and inventory, ensuring necessary items are stocked.

  • Assist with incoming and outgoing mail and deliveries.

  • Maintain and update contact lists, calendars, and records as directed.

  • Ensure the security of the office by monitoring visitor access and maintaining logs.

  • Handle client inquiries and resolve issues or direct them to the appropriate personnel.

  • Assist with basic HR tasks, such as welcoming new employees and providing orientation information.

  • Support other departments or staff as needed.

Skills & Qualifications:

  • High school diploma or equivalent.

  • Previous experience as a receptionist.

  • Strong communication skills, both verbal and written.

  • Professional phone etiquette and interpersonal skills.

  • Basic knowledge of office equipment.

  • Proficient in Microsoft Office Suite.

  • Ability to multitask, prioritize, and manage time effectively.

  • Attention to detail and strong organizational skills.

  • Ability to maintain confidentiality and professionalism in all interactions.
