Job Description

Position : Personal Secretary to MD

We are looking for a highly organized and proactive Personal Secretary to provide administrative and secretarial support to a MD. The ideal candidate will handle a wide range of responsibilities, ensuring the executive’s day-to-day activities run smoothly and efficiently.

Key Responsibilities:

Administrative Support:

  • Manage the calendar, schedule meetings, and coordinate appointments.
  • Handle all correspondence, including emails, letters, and phone calls, on behalf of the MD.
  • Prepare and organize documents, and reports.

Travel and Event Management:

  • Plan and book travel arrangements, including flights, accommodations, and itineraries.
  • Coordinate and organize events, conferences, and business gatherings.
  • Ensure all logistics for meetings and events are handled seamlessly.

Communication and Liaison:

  • Act as the primary point of contact with internal/external stakeholders.
  • Maintain effective communication and follow-ups to ensure timely execution of tasks.
  • Represent the matter professionally in their absence, ensuring key matters are addressed.

Task and Time Management:

  • Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met.
  • Maintain a to-do list and provide regular updates on pending tasks.
  • Proactively handle operational requirements.

Confidentiality and Record Keeping:

  • Maintain confidentiality regarding sensitive information and business matters.
  • Organize and maintain files, records, and important documents for easy retrieval.
  • Safeguard critical business and personal information with discretion.

Office Coordination:

  • Coordinate with departments to ensure smooth workflow and communication.
  • Assist with personal tasks and errands when needed.

Qualifications and Skills:

  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
  • 20+ years of experience as a personal secretary or executive assistant.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to maintain professionalism and confidentiality.

Job Type: Full-time

Pay: ₹1,000,000.00 - ₹1,500,000.00 per year
