Job Description

1

  • Manage theVP'ss calendar, schedule meetings, and coordinate travel arrangements.
  • Organiz and prioritize tasks and appointments, ensuring efficient use of the VP's time.
  • Prepare and review correspondence, reports, and presentations as needed. Serve as the primary point of contact for internal and external stakeholders on behalf of the VP.

2. Communication Management:

  • Screen and prioritize incoming communications, responding as necessary.
  • Handle confidential information with the utmost discretion and professionalism.
  • Draft, edit, and proofread communications such as emails, memos, and reports.

3. Meeting & Event Coordination:

  • Arrange and coordinate meetings, including preparing agendas, taking meeting minutes, and following up on action items.
  • Organize internal and external events, conferences, and business trips for the VP.

4. Project Management:

  • Assist the VP with project coordination, ensuring deadlines are met and tasks are completed efficiently.
  • Track and follow up on ongoing projects, ensuring smooth operations and communication.

  • Maintain a well-organized filing system for physical and electronic documents.
  • Ensure that records, contracts, and confidential documents are properly stored and maintained.

  • Assist in day-to-day office operations, managing office supplies and logistics.
  • Provide general administrative assistance to the VP.

7.

  • Arrange and coordinate for international and domestic travel, including flights, hotels, and transportation.
  • Prepare detailed travel itineraries and ensure all travel logistics are handled.
