Job Title: Assistant Admin Manager Job Summary: The Asstt. Manager - Admin (College, OPD, Hostel & In-House Administration) shall be responsible for the administration of all the hostels, security, and in-house administration of ITS Campus-II, Muradnagar. The Manager Admin shall report to the Administrator. Essential Functions: Overall administration of the College, OPD Hostels of ITS Campus-II, Muradnagar. Daily rounds of the whole campus, especially OPD, Playground, Gym, parking area, and outside the college perimeters during the functioning of classes. Proper supply of electricity & maintenance of all electrical equipment. Fulfillment of infrastructural requirements like flex, water supply, electricity, WiFi connectivity, and maintenance of offices, classrooms, corridors, faculty area, labs, library, hostels, and staff flats. To supervise the working of College, OPD, Hostel, and other staff. Prepare and provide a duty roster for Sundays/Holidays to the HR department in advance on a monthly basis. To maintain coordination of wardens of various hostels for smooth functioning of day-to-day routine work of hostels and students facilities. To deal with the acts of indiscipline of students/staff. To ensure that no ragging takes place in the hostels and maintain ragging-free hostels. To plan for up gradation of facilities in the hostels. To ensure discipline, law, and order in the college campus. Implementation of decisions taken by the college authorities. To check various registers and ledgers maintained by hostel wardens and mess supervisors from time to time. To ensure hygiene, cleanliness, quality, and quantity of food in the mess. To maintain overall ambiance and proper maintenance of hostel premises including washrooms, student rooms, rooftop, water tank, R.O. functioning, and surroundings of hostels. In case of any untoward incident related to any disciplinary act by students/staff, an incidence report should be prepared and submitted to senior authorities. To check daily reports of CMS and take corrective measures to resolve the problems. Monitor & intimate concerned person in case of deficiency towards college, OPD, campus cleanliness including classrooms, laboratories, library, seminar halls, auditorium hall, faculty cabins, offices, toilets, kitchen, and ground maintenance. Trophies/Certificates/Sound/Flex from outside agencies for all campus activities. Vehicles from outside agencies for all campus events as per requirements. Tea, Snacks, Lunch & Dinner arrangements as per requirement for several programs/guest lectures/seminars, etc. To allocate duties of Supervisors, Dental Chair Technicians, Electricians, Plumbers, Welders, Carpenters, Peons, and Sweepers, etc. To prepare a monthly inspection report of all buildings and other facilities. To prepare a work order for supervisors based on the inspection report. Booking of Auditorium/Seminar Hall/Guest House and other common facilities ensuring that every item of requisition is taken care of, and also to ensure sufficient numbers of trained individuals for the purpose. To update and maintain a fire fighting system and ensure trained staff for it. To arrange photographers and flower decoration for various events. Upkeep of all DGs, Solar, Heaters, Electricity Solar Panels, along with data of outputs. Vigil on staff flats cleanliness and ensure cleanliness of Water Coolers and Overhead Tank, etc. To maintain coordination with the local police Thana/Chowki. To pass bills related to housekeeping & security agencies. To ensure maintenance, service & liaisoning with vendors of lifts, solar systems, R.O., and college vehicles. Liaison with housekeeping, security, gardening, and other outside agencies. To look after the college canteen, photocopy shop, and Nescaf shop including contract follow-ups, renewal, and administration. To look after telephones, EAPBX’s, electricity, and canteen problems. To look after horticulture and gardening. To supervise all administration tasks connected to various events organized at I.T.S. Any other responsibility assigned by college authorities. For any repair/maintenance work to be carried out by outside vendors, necessary quotations to be taken and get it approved by the authorities before proceeding for any work.
