Job Description

Role & responsibilities: Indicative Tasks & Activities Performed and Competencies Required 1. Ensures that customer orders are acknowledged appropriately and on time Receives customer orders through marketing team Knowledge of Product Knowledge of Manufacturing process Knowledge & Application of Commercial Practices Planning Analytical Ability Coordination Skills Knowledge of Functional Application Software (ERP) Studies the order carefully and coordinates with internal teams (finance, marketing, engineering and purchase) and business partner to check for feasibility of the order in terms of cost and delivery as per requirements Coordinates with Purchase team to check on availability of materials and time required to purchase and get the materials delivered Coordinates with the logistics vendor to check on time required for delivery of the materials If feasible, prepares the delivery schedule and makes the order entry in the ERP Arrives at alternate offering if the customer order is not feasible and communicates the same to the customer through marketing Sends the acknowledgement with necessary documentation to the customer through marketing team 2. Handles materials plan, production schedules and logistics to ensure timely delivery at the customer end Once the order is finalized, coordinates with the purchase team for timely purchase of materials Planning Coordination Skills Vendor Management Cost control / focus Negotiation Skills Execution skills Prepares the production plan based on the availability of materials, tools, manpower / capacity and follows up to ensure that the plan is adhered to Identifies the vendors for making the delivery of products to the customer place and negotiates rates as necessary Coordinates with the vendors to ensure timely delivery of materials at the customer place Informs the Marketing team on delivery status Plans the various deliveries such that the logistics cost is optimal Raises the customer invoice for the order Ensures that the vendor collects all the documents at the time delivery is being made. Matches the delivery receipt to the invoice raised. Hands over the documents to the marketing team for follow-up on payments Coordinates with finance team for payment to logistics service providers 3. Plans inventory to ensure optimal costs Ensures procurement of materials is done as per the customer requirement as well as depending on the forecast and storage space Knowledge of Inventory Management Knowledge & application of Company Policies Monitors the inventory turnover and takes necessary steps to minimize the holding time and costs
