Job Description

Key Responsibilities: Manage the receipt, distribution, tracking, and archiving of all construction and project documentation including: Architectural, structural, MEP drawings Design approvals Vendor and contractor submittals RFIs, MOMs, work permits, and statutory clearances Contracts, BOQs, work orders, inspection reports, etc. Establish and maintain a structured document control system compliant with company policies and project requirements. Coordinate closely with internal project teams, consultants, contractors, and vendors to ensure timely submission and retrieval of documents. Maintain version control and ensure only the latest, approved documents are in circulation. Ensure documentation complies with regulatory requirements (e.g., RERA, local municipal approvals, fire/NOC, environmental clearances, etc.). Prepare and maintain document logs, registers, and audit trails for internal and external reporting. Support project audits and due diligence by ensuring that all records are accurate, complete, and retrievable. Train and guide junior document control staff, if applicable. Collaborate with IT/ERP teams for integration of document control processes into project management software or DMS tools. Requirements: Graduate in any discipline. Diploma or certification in document control, construction management, or project administration is a plus. 1012 years of experience in document control in the construction, infrastructure, or commercial real estate sector. Strong understanding of project documentation lifecycle across design, pre-construction, execution, and close-out phases. Familiarity with construction drawings, technical documentation, statutory approvals, and quality records. Proficient in document management systems (DMS) such as Aconex, AutoDesk BIM 360, SharePoint, or other construction project platforms. Good command of MS Office tools (Excel, Word, Outlook) and basic PDF editing tools. Strong organizational and communication skills with a high attention to detail. Ability to work under pressure and manage documentation for multiple projects simultaneously. Preferred Attributes: Experience in large-scale commercial, retail, or mixed-use real estate projects. Familiarity with ISO standards and construction industry best practices. Knowledge of regional real estate documentation and regulatory norms
