A role you will love. Responsibilities As a Workforce Planning Analyst, you will be a member of our Business Planning team within our Corporate Trust (CCT) organization. You will deliver on initiatives aligned to the strategy of developing enhancements and efficiencies through workforce planning to provide sustainability and efficiency across our CCT business lines. Some of your key responsibilities will include: Workforce Analyst is responsible for short-term, long-term and event driven capacity forecasts for multiple business units within several product lines. Track skillsets of multiple workgroups via skill matrix; Recommend when specific activities require additional staff training; Organize trainings before backlogs occur due to a lapse in said Activity capacity. Schedule staff using regional labor laws to couple maximized productivity and staff efficiency. Work in tandem with Management Information (MI), Human Resources (HR), Technical & Operational Training (T&OT), Technology Services (CTS), Value creation (VC) and business line management to ensure all metrics are captured and available for management view. Track attrition rates by type and tenure – forced, voluntary, promotion/internal move, new hire. Monthly assessment of CCT business unit capacity; Adjust recommended staffing levels for future workload and/or events/projects. Capacity forecasting: How many staff are needed each fiscal year, quarter, month, week, day, hour, interval with the understanding that several activity requirements need to be filled during hours of operation. A role you will love. The Facilities Coordinator will cover the full spectrum of facilities services and provision and will support the business, department and Facilities Manager with the management of the property portfolio under the department’s control. In particular the role will be the focal point for IFM & 3rd party contractor coordination of hard and soft Facility Management services and associated health & safety, compliance and legislative management within the team. The role will also involve being fully committed within the team in ensuring the day to day operations and business as usual activities of the properties and to ensure buildings are maintained to a high standard. The role holder will also be a point of contact in the Facilities Manager’s absence or if the Facilities Manager is located remotely. Overseeing health and safety (H&S) policies and procedures. Site focal point for health and safety including risk assessments, inductions, and first aid arrangements. Managing evacuation procedures, policies and training, and assist in staffing of ERT (Emergency Response Team). Procuring health and safety equipment and consumables. Managing the service providers under remit such as maintenance, cleaning, security, waste, cafeteria, tuck shop, transport. Monitoring service provider performance against agreed requirements and escalating issues as appropriate. Site focal point for compliance with physical security and information security policies in relation to the facilities operations. Completing, managing & reviewing risk assessments & method statements relevant to remit. Managing company transport operations for staff and international visitors as, or if, required for the location. Reviewing and updating the business continuity requirements for the location and with relevant suppliers & in accordance with BCP planning. Reviewing, updating & communicating policy and procedural change. Dealing with day-to-day building operational issues, including HVAC and UPS maintenance in absence of Engineering lead. Supporting information requests for tenders, internal and 3rd party audits. Supporting internal events (e.g. stalls, catering, charity events). Ensuring cover for reception duties as required and monitoring Facilities email inbox. Reviewing and processing Service Now requests, and submitting requests directly, as required Processing, approving and raising purchase orders, and logging invoices, producing financial operating cost reports and service charge summaries as required. Sustainability and utilities management – collation and monitoring of energy consumption and costs. Supporting Facilities projects - internal & external – as required. Conducting building & workplace inspections, ensure legislative compliance. Providing remote support to other offices as required. What will you bring to the role? 12+ years of facilities management/adminitration experience Experience in writing and amending policies and procedures. Ability to write detailed proposals for maintenance and works orders. Experience of managing health and safety to local legislative compliance. Experience in managing suppliers/service providers. Procurement experience in setting up supplier and managing purchase orders. A good practical knowledge of hard and soft building services. Financial knowledge in managing operating costs, invoicing and budgets. Proactive and independent worker. Excellent communicator (verbal and written). Excellent IT skills. Proficient in MS Office suite of applications. Skilled in Transport and Security systems software. Management of Service Level Agreements and Key Performance Indicators.
