Job Description

As a Front Office Executive at NMG Technologies, you will be a key player in ensuring the smooth and efficient operation of our front desk and data management processes. Your proactive and organized approach will be crucial in managing administrative tasks and communication needs while ensuring a positive experience for visitors, vendors, and internal teams. This role is essential for enhancing our operational efficiency and customer service. Key Responsibilities: - Reception and Guest Services: Greet and welcome visitors, providing prompt and professional direction to the appropriate departments or individuals. - Communication Management: Answer, screen, and forward incoming phone calls to deliver a professional communication experience for callers. - Reception Area Maintenance: Maintain a tidy and well-organized reception area with all necessary materials readily available. - Information Provision: Provide accurate information to visitors, clients, and staff in-person, via phone, or email. - Mail and Deliveries: Oversee receipt, sorting, and distribution of mail and deliveries for prompt handling. - Vendor Coordination: Coordinate with vendors, negotiate terms, and secure favorable pricing for the company. - Follow-ups: Proactively follow up with vendors and clients to ensure timely service and delivery. - Office Security: Adhere to safety protocols, manage visitor logs, and issue visitor badges as required. - Supplies Management: Monitor inventory levels, order supplies, and ensure a constant supply of necessary materials. - Clerical Support: Provide support such as filing, photocopying, scanning, and faxing. - Additional Duties: Assist with tasks assigned by management to support office operations. Qualifications and Requirements: - Proficiency in Google Sheets and MS Office: Strong working knowledge of Google Sheets, Google Docs, Excel, Word, and PowerPoint. - Data Management Experience: Demonstrated experience in managing and organizing data efficiently. - Problem-Solving Skills: Capable of identifying challenges and providing timely solutions. - Quick Learner: Ability to adapt quickly to new tools, tasks, and procedures. - Strong Communication Skills: Excellent verbal and written communication skills for clear interactions. - Attention to Detail: Maintain a high degree of accuracy and attention to detail in completing tasks. Please note that this is a full-time, permanent position with benefits including Provident Fund. The work schedule is during the day shift, and the work location is in person.,
