Event Executive

You will be responsible for liaising and coordinating with selected vendors to ensure smooth execution of events according to the schedule. You must provide a detailed plan to the client servicing team for event execution, review progress, and offer feedback on production. Additionally, you will be involved in processing invoices, preparing cost sheets, and obtaining necessary approvals post-event. Your role includes implementing cost-saving measures to enhance event profitability. It is important to gather quotations from multiple vendors before finalizing any equipment supply. Creating a comprehensive cost sheet for the entire event production and obtaining approval from the Events Head is crucial. Post-event, you will be required to ensure availability of expense bills for audit purposes. Managing vendors effectively by maintaining a database, negotiating rates, and coordinating for timely deliveries form a significant part of your responsibilities. You should focus on implementing corporate systems and procedures, preparing and maintaining specified documents and reports within required time frames. Submitting market reports to the Production Manager is also part of your duties. You will report to the Production Manager and work with a degree of independence while seeking guidance when necessary. Your interactions will mainly be with internal stakeholders like the Manager Finance and Client Servicing team, as well as external contacts including vendors and client representatives.,
