Documentation Executive

The Logistics Documentation Executive is responsible for managing and coordinating all documentation related to the movement of goods, ensuring compliance with international trade regulations, and supporting smooth import/export operations. This role is critical in maintaining accurate records, facilitating customs clearance, and ensuring timely delivery of shipments.

Role & responsibilities

• Prepare and verify shipping documents such as invoices, packing lists, bills of lading, certificates of origin, and export/import declarations.
• Coordinate with Shipping line , customs brokers, and transporters to ensure timely and accurate documentation.
• Ensure compliance with international trade laws, customs regulations, and company policies.
• Track shipments and maintain updated records in logistics systems.
• Liaise with internal departments (sales, procurement, finance) to gather necessary documentation and approvals.
• Maintain organized filing systems (physical and digital) for all logistics-related documents.

Preferred candidate profile

• Bachelors degree in Logistics, Supply Chain Management, International Business, or a related field.
• 2+ years of experience in logistics documentation, preferably in an export/import environment.
• Proficiency in MS Office and logistics software (e.g., SAP, Oracle, or Tally ERP).
• Excellent attention to detail and organizational skills.
• Strong communication and coordination abilities.
• Ability to work under pressure and meet tight deadlines.
