Role Overview
The SharePoint Architect will be responsible for designing, architecting, and implementing an enterprise-scale Document Management Solution (DMS) on Microsoft 365. This role will lead the architecture for document ingestion, metadata extraction, storage tiering, governance, workflows, and unified APIs. The architect will collaborate with business, platform teams, and engineering squads to define scalable, high-performance patterns supporting more than 200+ TB of content across multiple regions.
Key Responsibilities
1. Solution Architecture & Design
Design end-to-end architecture for enterprise SharePoint Online DMS including ingestion, metadata extraction, storage, retrieval, and governance.
Define site architecture, content types, metadata taxonomy, managed properties, and hub site strategy.
Architect Active–Warm–Cold storage tiering models optimized for performance (1–10 sec retrieval SLAs).
Create scalable library-splitting and auto-archival patterns for libraries exceeding 100K+ items.
2. Document Ingestion & Integration
Design multi-channel ingestion framework integrating ServiceNow, Appian, Microsoft Teams, SPFx Explorer, and APIs.
Architect connectors and middleware using Graph API, REST API, CSOM, Power Automate, Azure Functions, or API gateways.
Implement standardized library creation and document upload APIs without the need for separate Azure AD app registrations by consumers.
3. Metadata Extraction, AI Tagging & Validation
Architect metadata auto-tagging using Microsoft Syntex / SharePoint Premium or AI Builder.
Define mandatory metadata models and validation logic using SPFx, Power Automate, or SharePoint rules.
Build metadata enrichment frameworks ensuring compliance with data limits (8,000 bytes) and accuracy expectations.
4. Search, Retrieval & Unified API Layer
Architect unified API service for internal and external integrations.
Configure advanced SharePoint search, Microsoft Search, result types, managed properties, and metadata-driven queries.
Lead implementation of regional hub sites enabling cross-geo, cross-LOB search and discovery.
5. Governance, Compliance & Security
Implement Microsoft Purview retention, sensitivity labels, DLP policies, and compliance automation.
Define access control, external sharing policies, conditional access, and B2B guest access models.
Establish lifecycle workflows for review, approval, archival, and deletion prevention.
6. Performance Engineering & Scalability
Design solutions handling 200+ TB content with optimized performance and minimal throttling.
Implement caching, pagination, batching, and throttling mitigation for Graph API-based operations.
Ensure high availability, resilience, and disaster recovery aspects of the DMS.
7. Documentation, Standards & Knowledge Management
Create architectural blueprints, integration diagrams, solution guidelines, and operational runbooks.
Ensure API documentation (Swagger/Postman) is maintained and published.
Enable Knowledge Base creation including FAQs, troubleshooting guides, and Service Desk documentation.
8. Delivery Leadership & Collaboration
Work closely with Product Owners, Business SMEs, Engineering Leads, and M365 Platform Teams.
Provide technical leadership, code review guidance, and enforce best practices.
Participate in release planning, CAB processes, and technical governance forums.
Required Technical Skills
Microsoft 365 & SharePoint
Deep expertise in SharePoint Online, Site Collections, Libraries, Content Types, Managed Metadata, IRM, and Compliance.
SPFx development knowledge (React, TypeScript) to guide development teams.
Mastery of Graph API (Sites, Lists, Files, Search, Identity).
Search & Metadata
Expertise in KQL, managed properties, schema customization, Microsoft Search.
Hands-on experience with Syntex / AI Builder AI models.
Integration & APIs
Strong experience with REST APIs, CSOM, Graph API, Azure Functions, and API Management (APIM).
OAuth 2.0, Entra ID authentication models, App-Only permissions.
Workflow & Automation
Power Automate (complex flows, batching, concurrency).
Logic Apps (preferred for high-throughput workflows).
Governance & Security
Purview retention, DLP, sensitivity labels, conditional access, B2B.
SharePoint storage governance, site provisioning, and naming conventions.
Azure & DevOps
Azure Functions, App Services, Key Vault, AAD app registrations.
Azure DevOps CI/CD (SPFx pipelines, API deployments).
Monitoring using Application Insights, Azure Monitor, Power BI.
Preferred Experience
Architecting large-scale DMS solutions (50+ TB, ideally 100–200 TB+).
Experience with enterprise regulatory environments (Banking, Insurance, Pharma).
Designing SPFx custom explorers or file interfaces.
Implementing hub-level or cross-geo search at scale.
Prior experience in solution migration from file shares or legacy DMS.

Education
Bachelor’s or Master’s degree in Computer Science, Engineering, or related field.
Microsoft 365 or Azure Architect certifications (preferred).
