Role Overview:

The Office Manager will be responsible for ensuring the smooth day-to-day running of the office, overseeing administrative operations, managing office supplies and vendor relationships, supporting and works side by side with the HR processes, and maintaining compliance with company policies and statutory requirements in India office. This role requires excellent organizational skills, strong interpersonal abilities, and a proactive approach to problem-solving.

Key Responsibilities:

Office Administration:

  • Oversee general office operations, including reception, housekeeping, security, and facility maintenance.
  • Maintain office supplies inventory and place orders as needed.
  • Coordinate with building management, vendors, and service providers.
  • Ensure office equipment (printers, laptops, phones) is maintained and serviced regularly.

Vendor & Procurement Management:

  • Negotiate contracts and manage relationships with vendors and service providers.
  • Ensure timely payment of vendor invoices and maintain accurate records.

Compliance & Record-Keeping:

  • Ensure compliance with local labor laws, Shops & Establishment Act, and other statutory regulations.
  • Maintain proper documentation for audits, licenses, and certifications.
  • Liaise with accountants and legal advisors for statutory filings.

Travel & Logistics:

  • Arrange domestic and international travel, accommodation, and transportation for staff.
  • Coordinate visas, travel insurance, and reimbursements.

Budgeting & Reporting:

  • Prepare and manage the office administration budget.
  • Generate monthly reports on office expenses and operational efficiency.

Skills & Qualifications:

  • Bachelor’s degree in Business Administration, Commerce, or related field.
  • 3–5 years’ experience in office administration or operations, preferably in a corporate environment.
  • Knowledge of Indian labor laws and compliance requirements.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and Microsoft Outlook.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.

Preferred Skills:

  • Experience in vendor management and negotiations.
  • Basic accounting knowledge for petty cash and vendor payments.
  • Event planning and coordination experience.
