Job Summary:

The Project Coordinator, Centralized Business Processing supports Admitted and Non-Admitted Property & Casualty products written in US & Canada. The Project Coordinator is a key member of the Business Operations team, responsible for the administrative organization of the Clearance, Renewal Management and UW Prep teams. The Project Coordinator is responsible for liaising and facilitating the execution of project deliverables by the offshore teams, working on behalf of underwriting and operational teams while interfacing with internal AW resources to meet and support changing needs and business strategies. This includes supporting development of operational workflow and system efficiencies, system testing, training documentation and delivery, new or enhanced product offerings and corporate initiatives.

Job Duties:

  • Knowledgeable and able to speak on team procedures and practices. Establish a positive relationship with underwriters to support their issues. Track feedback from the business looking for trends, training gaps, and potential for process updates.
  • Runs the daily team meetings. Review user-reported issues or issues that the team faces. Documents meeting notes, including summary of discussion, decisions made, and open action items.
  • Identifies if a user-reported issue is a change to the standard operating procedure, or training issue. Escalates process improvements or potential business requirement solutions.
  • Ensures the team investigates root cause and forms an acceptable mitigation and action plan.
  • Create AW IT tickets on behalf of the team, with documentation and clear understanding of problems or issues that the offshore team may face. Track and execute appropriate follow ups. Escalate tickets as needed.
  • Participate in yearly Disaster Recovery of underwriting systems.
  • Assist in teams new hire setup and maintain teams access directory.
  • Responsible for a combination of administrative tasks to support Business Operations team; including but not limited to maintaining distribution lists, compiling reports, updating procedure and process workflow documentation, training manuals, and keeping the underwriter and account coordinator lists current.
  • Execute monthly eFile clean-up.
  • Responsible for yearly Q4 audit where one submission, renewal, and UW Prep accounts are checked per LOB.
  • Ensure the team knows about any weekly system downtime.
  • Be the liaison between Actuary and offshore team whenever a new rater version is rolled out. If Actuarial changes have impact to UW Prep services, updating the offshore team on the change, and documenting the new version in the Rater tracking list.

Job Requirements:

  • Working hours are 8:30am EST - 5pm EST.
  • Bachelors degree required.
  • Knowledge of IT and Project Management concepts, strategies, and methodologies.
  • 2-4 years of experience supporting Project Managers preferred.
  • Strong, demonstrated negotiation and persuasion skills, strong written & verbal communication skills, strong organizational skills, and Proficient in Microsoft Office Suite, especially MS Excel and PowerPoint.
  • Ability to communicate and present effectively to VP level and above.
  • Strong independent problem-solving skills.
  • Knowledge of insurance industry preferred.
  • Proven ability to work effectively both independently and in a team-based environment.
  • Demonstrated willingness to be resourceful, flexible, adaptable to changing priorities and challenge the status quo.

Prohibited Work:

Cannot (i) participate in any pricing or underwriting analysis or decision-making with respect to the same and (ii) cannot work with the Claims Department to estimate or adjust loss reserves or case reserves with respect to specific products. Ultimate strategic decision-making responsibility is reserved for the respective business head or senior leadership involved in the project.
