Job Description

The Front Office Executive is responsible for managing the reception area, greeting visitors, handling incoming calls, and performing various administrative tasks to support the smooth operation of the office. This role is crucial as the first point of contact for clients, guests, and employees, ensuring a positive and professional impression of the company.

#### Key Responsibilities:

1. **Reception Management:**

- Greet and welcome visitors with a positive, helpful attitude.

- Direct visitors to the appropriate person and office.

- Maintain the cleanliness and organization of the reception area.

2. **Telecommunications:**

- Answer, screen, and forward incoming phone calls.

- Provide basic and accurate information in-person and via phone/email.

- Manage and distribute incoming and outgoing mail.

3. **Administrative Support:**

- Assist with administrative tasks such as data entry, filing, and maintaining office supplies.

- Schedule and coordinate meetings, appointments, and travel arrangements for executives.

- Handle office correspondence and provide general administrative support.

4. **Customer Service:**

- Address and resolve customer inquiries and issues promptly and professionally.

- Ensure all client interactions are documented and followed up as necessary.

- Support the customer service team with overflow work, including data management and customer follow-up.

5. **Security and Access Control:**

- Monitor visitor access and maintain security awareness.

- Ensure the security of the reception area by following procedures and controlling access via the reception desk.

6. **Coordination and Communication:**

- Liaise with executive and senior administrative assistants to handle requests and queries.

- Communicate effectively with team members, providing support as needed.

- Coordinate with the facilities team for any maintenance and repair issues.

#### Qualifications:

- **Education:** High school diploma or equivalent; additional qualifications as a receptionist or office administrator are a plus.

- **Experience:** Proven work experience as a Receptionist, Front Office Representative, or similar role.

- **Skills:**

- Proficiency in Microsoft Office Suite.

- Hands-on experience with office equipment (e.g., fax machines and printers).

- Professional attitude and appearance.

- Solid written and verbal communication skills.

- Ability to be resourceful and proactive when issues arise.

- Excellent organizational skills and attention to detail.

- Multitasking and time-management skills, with the ability to prioritize tasks.
