Job Description

We are seeking a detail-oriented AV Project Coordinator with strong knowledge of audio-visual systems, service ticket management, and project coordination. The ideal candidate should have hands-on experience in managing AV support tickets, coordinating with service engineers, tracking project progress, and maintaining customer asset records. Proficiency in MS Excel and familiarity with CRM/ticketing tools (e.g., Jira) are essential. This role is critical to ensure timely service delivery, smooth coordination between teams and clients, and accurate reporting for ongoing AV projects across multiple locations.

Roles and Responsibility

  • Comprehensive project planning, Advanced data management and reporting using MS Excel, Resource allocation, interdepartmental communication, Budget tracking, financial oversight.
  • Project Management tools like MS Excel (Spreadsheets, PivotTables, Data Analysis), Project documentation.
  • Effective stakeholder communication, Strategic resource optimization, Performance tracking and reporting, team collaboration, Technical Support with design team, coordination with purchase department and finance department.
  • Ability to manage and coordinate a team of 10 to15 field service engineers across locations.
  • Liaising with OEMs for RMA requests, warranty claims, and support escalations (e.g. Crestron, Extron, AMX, Shure, Biamp, QSC, Bose, LG, Samsung, Poly, Cisco, Kramer)
  • Maintaining detailed records of service calls, customer-installed base, AMC/warranty status, and asset tracking.
  • Support Project Managers across the entire project lifecycle.
  • Create and manage key project documentation.
  • Assist with scheduling, meetings, and resource allocation.
  • Track tasks, deadlines, and flag potential issues.
  • Help identify risks and prepare status reports.
  • Willingness to travel occasionally to support projects or onsite escalations outside Delhi NCR (e.g., Bangalore, Mumbai, Chennai).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software (e.g., MS Project, Asana, Trello).
  • Proficient in logging, tracking, and closing service tickets using CRM or helpdesk tools (e.g., Jira, Zoho Desk).
  • Prioritizing and categorizing tickets (P1, P2, P3) based on urgency and impact.
