Job Description

Contract Data Extraction Trainer

The ideal candidate should possess a deep understanding of Excel, an exceptional eye for detail, strong problem-solving abilities, and the patience to coach others in transforming complex contract information into readable, organized data.

Key Responsibilities:

  • Training & Development

    :
    • Design and deliver comprehensive training programs for data processors on how to extract key details from various shipping line contracts.
    • Teach processors to identify and interpret different types of contract clauses, terms, and details to ensure accuracy and completeness of extracted data.
    • Provide clear, step-by-step guidance on how to use advanced Excel functions (e.g., VLOOKUP, Pivot Tables, formulas, conditional formatting) to manage, manipulate, and organize data.
    • Develop training materials, such as guides, video tutorials, and documentation, that outline the data extraction and formatting processes.
    • Continuously assess the learning progress of trainees and provide feedback to ensure they are fully proficient in the extraction and formatting processes.
  • Process & Workflow Optimization

    :
    • Evaluate the existing data extraction and uploading processes, identifying areas for improvement to ensure efficiency and quality.
    • Implement strategies to handle complex or contract formats and ensure the extraction of relevant data across a variety of contract formats.
    • Develop and refine workflows to help processors achieve the most accurate and efficient data uploads.
  • Support & Troubleshooting

    :
    • Provide ongoing support to processors, answering questions and offering troubleshooting assistance as they work through contracts.
    • Offer constructive feedback and assist processors in solving challenges related to data extraction, especially when contracts do not adhere to a standard template.
    • Encourage and foster a problem-solving mindset, guiding team members to approach each contract with attention to detail and critical thinking.
  • Quality Assurance

    :
    • Ensure that extracted data is in a readable format that adheres to the template required for upload into the clients in-house software.
    • Conduct quality checks on processed data to verify accuracy and completeness before the final upload.

Qualifications:

  • Excel Expertise

    : Advanced proficiency in Microsoft Excel, including formula creation, data sorting, filtering, and manipulation.
  • Analytical Skills

    : Strong problem-solving skills, with the ability to navigate and analyze high volume contracts that are not standardized or follow varied formats.
  • Patience & Communication

    : Ability to explain complex concepts in a clear, patient, and engaging manner. Strong interpersonal and communication skills for effective training. Expertise in English and Tamil is preferred.
  • Experience

    : Proven experience in data extraction, preferably from contracts, legal documents, or other unstructured data sources.
  • Teaching/Training

    : Previous experience in training or mentoring staff, or the ability to develop training materials and conduct one-on-one or group training sessions.
