Job Title: Administrative Assistant – Travel & Facilities
Job Summary:
A proactive and detail-oriented Admin Assistant to manage travel arrangements, guest house operations, employee transportation, and general administrative functions. The ideal candidate will have strong organizational skills, proficiency in MS Office, and the ability to coordinate multiple tasks efficiently.
Key Responsibilities:
Travel Desk Management
- Monitor and process travel requests from employees.
- Arrange transportation (vehicles, flights, etc.) as per approved requests.
- Coordinate with travel vendors for bookings and ensure cost-effective solutions.
- Maintain travel records and assist in travel expense tracking.
Guest House Operations
- Oversee upkeep and maintenance of company guest houses.
- Manage bookings for new joiners, employees, and guests.
- Ensure cleanliness, inventory availability, and timely repairs.
Employee Transportation
- Plan and manage daily transportation schedules for employees.
- Coordinate with transport vendors and ensure timely service.
- Address and resolve transportation-related issues.
General Administration
- Maintain inventory of office supplies and guest house consumables.
- Manage asset records and ensure proper tagging and tracking.
- Plan and implement scheduled maintenance of leased properties.
- Update and share MIS reports with management regularly.
- Support other administrative tasks as assigned.
- Documentation as per GMP and GDP.
Required Skills & Qualifications:
- Proven experience in administrative support, preferably in travel and facilities.
- Proficiency in MS Office (Excel, Word, Outlook, PowerPoint).
- Strong communication and coordination skills.
- Ability to multitask and prioritize effectively.
- Attention to detail and problem-solving abilities.
- Minimum qualification: Graduate in any discipline.
- Proficiency in English and Hindi, Knowledge of local language preferable.
Preferred Experience:
- 2+ years in a similar role involving travel coordination and facility management.
- Familiarity with vendor management and budgeting.
