Job Title: Tender Executive Location: Madurai, Tamil Nadu Job Type: Full-time Department: Business Development / Tendering Reporting To: Managing Director / Tender Manager Job Summary:The Tender Executive will be responsible for identifying suitable tenders, preparing tender documents, coordinating submissions, and ensuring timely and compliant participation in government, public sector, and private sector bids. The ideal candidate must have strong documentation, analytical, and communication skills, with a good understanding of tendering processes, especially in advertising, printing, and outdoor publicity sectors. Key Responsibilities:Tender Identification: Monitor and track tender opportunities from government portals (GEM, CPP, DAVP/CBC, TN Govt eProc, etc.) Evaluate tender notices, eligibility criteria, and scope of work. Tender Preparation: Collect and compile required documents (certificates, affidavits, technical details, company credentials). Coordinate with internal teams for pricing, creatives, past work reports, and media lists. Prepare and format proposals, BOQ, rate justifications, and technical documents. Draft cover letters, pre-qualification documents, and compliance checklists. Tender Submission: Upload documents online or ensure physical submission of bids before deadlines. Liaise with procurement departments or nodal officers as required. Post-Tender Activities: Track results and manage tender clarifications, EMDs, and performance securities. Maintain documentation of awarded tenders, LOIs, work orders, and agreements. Coordinate for billing, execution updates, and work completion certificates. Database & Reporting: Maintain an updated tender status tracker, bid logs, and compliance registers. Generate weekly/monthly reports for management on tender activities and outcomes. Required Skills & Qualifications:Bachelor’s degree in Business, Commerce, Marketing, or related field. 1–3 years of relevant experience in tendering or business development. Strong knowledge of Government e-Procurement systems and GEM portal. Proficiency in MS Office (Word, Excel, PowerPoint) and document formatting. Attention to detail, organizational skills, and ability to work under tight deadlines. Excellent written and verbal communication skills in English and Tamil. Preferred:Experience in advertising, printing, or government publicity tenders. Understanding of DAVP/CBC empanelment procedures and outdoor advertisement contracts. Familiarity with Notarized documents, Affidavits, MSME/NSIC certificates, and rate justification processes.
