Set up, copy, scan, and store documents systematically. Manage documentation requests and ensure timely distribution to relevant parties. Maintain both physical and digital document records and ensure proper storage. Review documents for accuracy and make necessary edits to ensure records are up to date. Implement and manage documentation processes within the organization. Maintain confidentiality for sensitive documentation and records. Perform quality and compliance checks on documents to ensure they meet company standards. Maintain a register of applicable documents and ensure traceability. Distribute documents to the appropriate individuals or organizations. Receive and issue documents under transmittal, both internally and externally, following the document distribution matrix. Ensure all engineering documents are checked, free of errors, and submitted on time. Verify document filenames, revisions, and submissions for accuracy before distributing them to avoid confusion. Ensure that the latest approved documents and drawings are distributed to staff, contractors, and suppliers as needed. Develop and maintain the projects department document control register. Record and file all documentation exchanged between the projects department, contractors, suppliers, and construction control consultants. Assign document numbers to internally prepared documents and incoming documentation. Maintain updated records of all approved documents and drawings in the document archive and file server for easy traceability.
